This notice explains how personal data is handled when you submit an event question.

- Why data is used
- The organizer uses submitted questions to collect, moderate, queue, and answer questions for the event. Questions selected by the organizer may be shown on the public speaker screen.
- Legal basis
- The legal basis is the organizer's legitimate interests (Article 6(1)(f) GDPR) in operating the event Q&A, moderating submissions and presenting selected questions to the audience, subject to the necessity and balancing requirements of the GDPR. Participation is optional; name and affiliation are optional. You may object to this processing by contacting the privacy contact above.
- Information submitted
- The service receives your question and whether you chose anonymous mode. If you turn anonymous mode off, the form can also send the optional name and affiliation you enter. The service assigns an identifier and records timestamps and moderation/queue status to manage the question. The question text may itself identify you, so anonymous mode does not guarantee anonymity.
- Public display
- The organizer can choose a question for the public speaker screen. If you supplied a name or affiliation, those details may appear with that question. Event administrators can read submissions.
- Who receives data
- The organizer and its authorized event administrators can access submissions. The service operator processes data to run the service. Cloudflare provides network and hosting services, Neon hosts the question database, and Sentry receives configured browser error diagnostics. A selected question and any supplied identity may also be visible to the public on the speaker screen.
- International transfers
- Some service providers may process data outside the European Economic Area. The organizer must confirm the transfer details and safeguards that apply to this event. The production question database is configured for Frankfurt, Germany (Neon). Cloudflare operates distributed infrastructure and may process request and connection data outside the European Economic Area. When enabled, Sentry may process minimized error diagnostics and connection data outside the European Economic Area. The database region does not establish the location of all provider processing, support access or backups. For information about the processing countries, applicable provider agreements and international-transfer safeguards, contact the privacy contact above or the service operator.
- Retention
- Questions are scheduled for deletion 90 days after collection closes. Reopening collection cancels that deadline; the next closure starts a new 90-day period. The organizer can also delete questions earlier. Technical data held by service providers follows their applicable retention policies.
- Your rights
- You can contact the organizer to request access, correction, deletion, restriction, or portability, and to object where the law allows. If the organizer relies on consent, you can withdraw it at any time without affecting earlier processing. You can complain to the data protection authority competent for you. The organizer will assess each request under applicable law. No automated decision with legal or similarly significant effects is made through this service.
- Technical data and cookies
- The site uses a first-party cookie named nuance-qna-locale for one year to remember your language choice. Providers may receive connection data, such as an IP address, to deliver and secure the service. The landing code does not configure advertising or analytics cookies.
- Error diagnostics
- When enabled, browser error diagnostics are sent to Sentry. The application removes request, user, breadcrumb, and extra event data before sending diagnostics; the provider may still receive connection data. Contact the organizer for provider-specific retention and transfer details.
